Setting Up Games on Guild

Step-by-step guide for Voidmasters on creating, configuring, and publishing sessions on Guild.

Session Types

When setting up a new session on Guild, select the appropriate session type for your game:

  • Normal Sessions: Standard games open for public sign-up. (Note: Session types can always be modified later if needed).
  • Planning Sessions: Sessions created without a finalized date. Players cannot claim table seats—they can only register interest.
Use Planning Sessions Sparingly

ONLY use planning sessions if you want to open an active scheduling discussion about your next game or if you need players to propose times. In most cases, it is much faster and easier to pick a concrete date you can run and let players sign up.

  • Private Sessions: Used exclusively for Journeyman (Level 7) or Guildmaster (Level 14) rank exams, or pre-arranged private storyline milestones. In private sessions, the Voidmaster adds each player character manually.
  • Intro Sessions: Dedicated onboarding sessions tailored for newcomers who have never played TTRPGs or are new to The Void.
    • Always run at the lowest starting level (Level 1 in Pathfinder 2e / Level 3 in D&D 2024).
    • Designed with zero prerequisites—players do not need prior lore context or reading.
    • Prepare a welcoming introduction, a beginner-friendly pre-selected quest, and allow time for character creation and basic rules overviews.
    • Voidmasters aim to run at least one Intro Session each month.

Session Configuration Walkthrough

When configuring your session on Guild, configure each field as follows:

  1. Choose a System (Mandatory):
    • Selecting a game system (Pathfinder 2e Remastered or D&D 2024) is required.
    • If you are open to running either system, create two separate sessions or state your flexibility clearly in the session's Discord forum thread.
  2. Session Level:
    • Set the intended party level.
    • Setting the level to 0 marks the session as TBD, allowing players to express interest and negotiate a level range or quest.
    • Selecting a quest from your quest list after creating the session will automatically override the session level with that quest's designated level.
  3. Player Cap:
    • Set the maximum number of players you are willing to host at your table.
  4. Select a GM Character:
    • Assign one of your personal characters as the designated GM Character.
    • Your GM character receives a flat 250 XP upon completing the session, regardless of level.
    • GM characters receive no gold or loot from GM rewards (if you never play this character as a player, remember it will eventually fall behind in gold and gear).
  5. Location & Google Maps:
    • Set the exact venue address.
    • Add a direct Google Maps link (search the venue on maps.google.com and click Share to copy the link).
  6. Date & Arrival Window:
    • Set the date and scheduled start time.
    • Every session features an Arrival Window of the scheduled start time plus 30 minutes (e.g., 18:30 – 19:00) during which players arrive, unpack, set up sheets, and settle in.
  7. Quorum & Cancellation Policy:
    • Clearly specify any minimum attendance requirements in advance (e.g., "Requires a minimum of 3 players to run").
    • This ensures games can be cancelled respectfully and in a timely manner if quorum is not reached.
  8. Discord Alerts & Automated Forum Posts:
    • Click "Post message" and "New session Alert" on Guild to ping the relevant community role on Discord and spawn the session thread.
    • Users with their Discord accounts linked to Guild (including yourself) are automatically added to the session forum thread.
    • You can also use integrated Guild bot buttons to post reminders or cancellation notices directly into Discord.
